University-wide email communications are an essential tool for sharing important updates and information. To ensure appropriate use, all requests for mass email distribution must be approved by a vice president, dean, or their designated representative.
Approved Use Cases
The mass email system is reserved forÌý communications that support 91³Ô¹ÏÍø’s mission and operations, including:
- University-sponsored events and activities
- Policy updates and university announcements
- Security or facilities alerts
- Other messages deemed beneficial to the campus community

Google Groups Transition Underway
To modernize our communication tools and enhance security, efficiency, and user-friendliness, we’re transitioning from AULists toÌýGoogle Groups. This migration is on track to be completed byÌýmid-July 2025.
This transition primarily affectsÌýcore mailing listsÌýused by:
- Faculty
- Administration
- Staff
Please note thatÌýnon-core lists, such as departmental or custom-created lists, areÌýnot affectedÌýby this transition at this time.
Key Benefits
- Enhanced Security: Eliminates shared passwords.Ìý Access is granted only to authorized individuals.
- Cloud-Based Access: No VPN required for message release.
- Faster Delivery: Removes the 30-minute delay previously experienced with AULists.
- Unified Domain: All lists will use the @adelphi.edu domain for a consistent and professional appearance.
- Streamlined Offboarding: Access is automatically revoked when Gmail accounts are deactivated.
Additional Details
- AULists vs. Listserv: The current migration focuses on AULists. Listserv migration will be considered in a future phase.
- Group Membership: The process for managingÌý group memberships remains unchanged. Only the distribution method has been updated.
- Authorized Senders: Access is now managed through individual Gmail accounts. Shared passwords are no longer used.
- Reauthorization Required: Executive Leadership and department heads must reauthorize list managers. Only authorized individuals may release messages.
